Who we are

Arundel Landscapes Limited is the controller responsible for the personal information described in this notice.

Information we collect

The information we collect depends on how you contact us and the work you ask us to carry out. It may include:

  • your name, email address, telephone number, postal address, postcode or location;
  • details of your enquiry, the work you are considering, timescale and approximate budget;
  • photographs or other files you choose to send with an enquiry;
  • correspondence, appointments, quotations, contracts, invoices, payment records and details needed to manage a project;
  • project photographs and records created while work is being planned or carried out;
  • technical information connected with a form submission or visit, such as the submission time, referring or landing page, campaign tags, IP address, browser information and server/security logs; and
  • your cookie choices.

Please do not send more information than is needed for us to understand your enquiry. If you upload a photograph, please avoid including people, vehicle registrations, documents or neighbouring properties unless they are relevant.

How and why we use it

The privacy confirmation on our enquiry form confirms that you have read this notice. It is not consent to everything we do with your information: the lawful bases above apply according to the circumstances.

We do not use website enquiries for unrelated email marketing without a separate lawful basis. We do not sell personal information or use it for automated decision-making or profiling.

Contact forms, email and telephone

When you use our contact form, the message is emailed to us and a copy is stored securely in the website administration area using Contact Form 7 and Flamingo. This helps us respond to and keep track of enquiries. Optional project details and photographs are only collected if you choose to provide them.

We plan to use Cloudflare Turnstile to distinguish genuine enquiries from automated spam. When enabled, Turnstile will process limited browser and device signals needed to carry out that security check. It does not receive the text entered into the form from us. This notice will be checked again when Turnstile is configured.

Project photographs and testimonials

We may keep photographs as part of a project record. We will take care before using photographs or testimonials on our website or social media. Where material identifies a customer or reveals information that should not be public, we will ask before publishing it. You can withdraw consent for future use by contacting us, although this does not affect use that was lawful before withdrawal.

Who we share information with

We only share information where it is reasonably necessary. Recipients may include:

  • website hosting, maintenance, email, storage and security providers;
  • CookieYes, which provides the cookie-consent controls;
  • qualified subcontractors or suppliers involved in quoting for or carrying out the work, where they need the information;
  • accountants, insurers and professional advisers; and
  • courts, regulators, law-enforcement bodies or other parties where disclosure is required by law or needed to protect legal rights.

We require service providers acting on our behalf to protect the information and use it only for the agreed service.

International transfers

Our business and target market are in the UK. Some technology providers may nevertheless process information outside the UK. Where that happens, we take reasonable steps to ensure that a UK-recognised adequacy decision or appropriate contractual and organisational safeguards protect the information.

How long we keep information

We keep personal information only for as long as it is needed for the purpose for which it was collected, including legal, accounting, insurance and dispute-resolution requirements. Our usual working periods are:

  • General or unsuccessful enquiries: up to 24 months after the last contact.
  • Customer, project, contract and accounting records: normally up to six years after the project or customer relationship ends.
  • Website and security logs: for the shorter period set by our hosting and security arrangements, unless an incident requires longer retention.
  • Cookie choices: for the period needed to remember and demonstrate the choice, currently up to 12 months before the site asks again.

We may keep a record for longer if a legal claim, warranty issue or other specific requirement makes that necessary. Information is deleted or anonymised when it is no longer required.

Cookies

The website uses CookieYes to give visitors control over cookies. Necessary cookies may be used without consent where they are required for security or to remember your privacy choices. Any analytics, advertising or other non-essential cookies must be held back until you make a positive choice. See our Cookie Policy for the current details and controls.

Your data-protection rights

Depending on the circumstances, UK data-protection law may give you the right to:

  • ask for a copy of your personal information;
  • ask us to correct inaccurate or incomplete information;
  • ask us to erase information or restrict how it is used;
  • object to processing based on legitimate interests;
  • receive certain information in a portable form; and
  • withdraw consent at any time where consent is the basis for processing.

These rights are not absolute and exemptions may apply. To make a request, use the contact details above. We may need to confirm your identity and will normally respond within one month.

Complaints

Please contact us first if you have a concern so that we can try to resolve it. You also have the right to complain to the UK Information Commissioner’s Office (ICO). Visit ico.org.uk/make-a-complaint/ or telephone 0303 123 1113.
